KB2002011905 - How to host a Whereby (Personal Room) meeting

This knowledge base is created to guide uses who require to host a video conference Personal Room meeting in Whereby application.

Instructions

The applied Whereby plan in this article is a Business plan.

The recommended browser is a Google Chrome.

Prior following this step, you should have the username and the company URL for Whereby -https://[company_sub_domain].whereby.com. If you do not have this information, contact the Information Technology (IT) admin.

Close any video conference applications/web applications that might open, such as Microsoft Skype for Business, Microsoft Teams, Microsoft Skype, Zoom, Cisco Webex, etc.

Step-by-step guide:

  • Open the Google Chrome browser.

  • Go to https://[company_sub_domain].whereby.com.

  • At the home page, enter the email address field.

     

  • There will be an email coming from Whereby with 6 digits code.
    Enter the code.
    Click the Log in button.

     

  • To start host in your personal room, click the Go to room button.

     

  • While loading camera and audio, click the Allow for use your camera option.

     

  • If you see the picture, the camera is working OK.
    Start speaking “test test test”. If you see the bar movement (up and down) on the mic icon, the mic is working OK.

     

  • If the camera or mic is not working, click the gear icon next to mic icon.
    Select the correct device for camera, mic and speaker.
    The best option is to select the inbuilt device on the laptop/desktop.

  • Once the setting is good, click the Join button.

  • At the meeting page, on the top left corner, check the room whether it is lock or not.

The padlock icon means that the meeting room is lock. It is recommend to lock the personal meeting room.

  • The guest has to knock the meeting room. Once they are ready and knock the door, the message will display on the screen.

     

  • To see the who guest, click See who button.

  • Review the screen shot of the guest.
    To let the guest in, click Let in button.
    As optional, to put on hold or reject the guest, click the Respond button.
    Click either the Put on hold or Reject button.

     

  • As optional, click the following button:
    Cam button for starting/stopping the video.
    Mic button for starting/stopping the audio
    Share Screen button for sharing the screen with others.
    Record button for starting/stopping the recording.
    Chat button for chatting with other participants.
    People button for managing the participants.

     

  • To end the meeting, click the Leave button.

     

  • Click the Continue to dashboard button.

     

  • To sign out the Whereby application, on the left navigation, click the Logout link.
